How to Set Up a Standing Desk Ergonomically

Get the height right first

Everything else in your setup keys off desk height, so start here. Stand naturally in the shoes you actually work in, let your arms hang, relax your shoulders, and bend your elbows to about 90 degrees so your forearms are parallel to the floor. The desktop belongs right under your forearms, so your hands rest on the keyboard without your wrists bending up or your shoulders lifting. This matches OSHA’s neutral-posture guidance for computer work: elbows bent 90 to 120 degrees and held close to the body, wrists straight, shoulders relaxed (OSHA Computer Workstations eTool).

In practice that puts the standing desktop around 38 to 39 inches for someone 5’4“, roughly 42 inches at 5’10“, and 45 to 46 inches at 6’2“. Treat those as starting points and tune by feel. Set the sitting height the same way, seated with feet flat and elbows at 90 degrees, which for many people is a surprisingly low 23 to 27 inches.

Two common errors at this step. Setting the desk while wearing shoes you never work in shifts everything half an inch or more, which is enough to notice. And splitting the difference between two users’ heights serves neither person; use the presets instead.

Position the monitor

Height and distance rules are simple and well established (OSHA eTool, monitors):

  • Height: the top of the screen at or slightly below eye level, so you gaze slightly downward at the center of the display without tilting your head. OSHA puts the screen center 15 to 20 degrees below horizontal eye level.
  • Distance: at least 20 inches from your eyes, with 20 to 40 inches the preferred window. Roughly arm’s length is the usable shortcut. Bigger screens sit toward the far end of that range.
  • Placement: directly in front of you, square to your body, so your neck stays neutral. If you use two monitors evenly, center the pair; if one is primary, center that one.

Tilt the screen back slightly, around 10 to 20 degrees, so your line of sight meets it perpendicular. If you wear bifocals or progressives, drop the monitor an inch or two lower than the standard rule, because reading through the bottom of the lens with a high screen forces your chin up all day.

A note specific to sit-stand desks: check the monitor at both heights. Some people stand a touch more upright than they sit, and a screen positioned at sitting height can end up an inch low when standing. A monitor arm makes the correction trivial and also frees desktop depth on shallow tops.

Laptop users need one extra move. A laptop on the desktop puts the screen far below eye level no matter how well the desk is set, so raise it on a stand and pair an external keyboard and mouse, or dock it to a monitor.

Keyboard and mouse position

With desk height correct, the keyboard sits directly in front of you, close enough that your elbows stay at your sides rather than reaching forward. Forearms level, wrists floating straight over the keys. The mouse belongs immediately beside the keyboard at the same height; a mouse placed too far away turns into a constant shoulder reach that shows up as neck tension by evening.

Skip the keyboard’s flip-out feet. Tilting the keys up bends your wrists backward, the opposite of neutral, and OSHA’s keyboard guidance is to keep wrists straight in line with the forearm. A flat or slightly negative tilt is better. Wrist rests are fine for pauses between typing bursts, but resting your wrists on anything while actively typing plants them and makes your fingers stretch for keys.

Feet, shoes, and the mat

Comfort from the waist down determines how long your standing blocks last. Stand with weight balanced over both feet and knees soft. Locked knees restrict circulation and are the fast route to lightheadedness and aching legs. Shift positions often, stagger your stance, put a foot up on a low rail or box occasionally; micro-movement is the point of standing in the first place.

Wear supportive shoes, and if you stand more than about an hour a day, put an anti-fatigue mat under yourself. Alternate on a schedule the evidence supports

A standing desk pays off through posture changes, so the schedule matters as much as the heights. The expert guidance for desk workers, produced for Public Health England, recommends accumulating 2 hours a day of standing and light activity at first, building toward 4 hours, with sitting broken up regularly (Buckley et al., British Journal of Sports Medicine). Cornell’s ergonomics program frames a similar idea as a repeating cycle: sit about 20 minutes, stand about 8, move for 2 (Cornell CUErgo), with the emphasis that movement, and not standing alone, is what drives circulation.

Don’t neglect the sitting half

Half your day at a sit-stand desk is still spent sitting, and the sitting posture rules carry over directly from standard workstation guidance. Drop the desk to your seated elbow height, keep feet flat on the floor or on a footrest, and set the chair so your thighs are roughly parallel to the floor with your lower back supported (OSHA eTool, positions). If your chair’s armrests hit the desk before the desk reaches the right height, lower or remove them; a desk parked an inch high to clear armrests defeats the whole exercise.

The monitor rules do not change between postures, which is why getting them right once, ideally with an arm, covers both heights.

Cables and the moving desk

A sit-stand desk travels through roughly two feet of range, and cables that were fine on a fixed desk become a daily annoyance or a hazard on a moving one. Before you call the setup finished, raise the desk to its full standing preset and check that the power cables, monitor leads, and Ethernet all reach with slack to spare. Taut cables at full height yank plugs, drag peripherals, and in the worst cases pull a power strip off the floor.

The clean solution is to mount a power strip under the desktop so only one cable travels to the wall, then run everything else through a cable tray or sleeve along the underside. Common setup mistakes

  • Desk too high. The classic error, usually from setting height to look right rather than matching the elbow rule. Shrugged shoulders and upward-bent wrists give it away.
  • Monitor too low, especially laptops used flat on the desk. Neck flexion accumulates into the stiffness people wrongly blame on standing itself.
  • Screen too close. Under 20 inches strains your eyes and crowds your posture; push it back or lower the display size.
  • Standing rigidly at attention. Locked knees and a frozen stance turn standing into an endurance event. Keep moving.

  • Hard floor, thin socks, no mat, then concluding standing is not for you.

A two-minute checklist

Run through this once at each height:

  1. Elbows at roughly 90 degrees, shoulders relaxed, wrists flat over the keyboard.
  2. Top of the monitor at or just below eye level, 20 to 40 inches away, directly in front of you.
  3. Keyboard and mouse side by side, close to your body.
  4. Knees soft, weight even, mat underfoot for standing blocks.
  5. Presets saved for sitting and standing.

Recheck after the first week. Small aches point at specific fixes: wrist ache means the desk is high, neck ache means the monitor is low or far off-center, and lower back or foot ache means your standing blocks are too long. Adjust one variable at a time and the setup converges quickly.
